Restaurant chatbots: automatic bookings on WhatsApp

It's Saturday night, the dining room is full and the phone rings: someone wants a table for Sunday, someone else is asking whether there are gluten-free dishes. Anyone running a restaurant in Milan or Turin knows the scene: requests come in exactly when nobody has a free hand to answer, and every missed call is potentially an empty table. A restaurant chatbot on WhatsApp handles those requests for you, at any hour: it takes bookings, answers frequent questions, sends confirmations and reminders. In this article we look at what it actually does, how it works in plain words and — above all — what must stay in human hands.

What a restaurant chatbot does, concretely

The channel does half the work: your customers already have WhatsApp in their pocket and use it every day, so there is nothing to download and nothing new to learn. The same chatbot can also live on your website as a chat window. Here are the four jobs where it pays off most:

  • It takes bookings. It asks for the date, the time, the number of guests and any special requests, checks availability and records the table. The customer gets an instant confirmation, even at eleven at night.

  • It answers frequent questions. Opening hours, today's menu, allergens and vegetarian options, where to park, whether the place is accessible: the same ten questions that currently keep your phone and inbox busy.

  • It cuts no-shows. The day before dinner, an automatic reminder goes out with one-tap options to confirm, move or cancel the booking. People who can no longer make it say so in time, and you can give the table to someone else.

  • It collects reviews. The day after, a polite message says thank you and invites the guest to leave a review, direct link included. Asking at the right moment, consistently, is what makes a restaurant's profile grow.

How it works, in plain words

A good chatbot does not make up answers. It uses an approach called RAG: before replying, it looks the information up in your restaurant's own documents — the current menu, the allergen list, the house rules, the frequent questions — and builds its answer only on what it finds there. If the answer isn't there, it says so honestly and hands the conversation to a person instead of improvising. That is the difference between a reliable assistant and a toy that will sooner or later tell a customer something wrong about allergens. One note on transparency: from August 2026, EU rules require chatbots to clearly disclose that they are artificial intelligence — good practice we follow regardless.

The table is still yours to run

The chatbot handles the repetitive requests, not the restaurant. Running the room stays with you: deciding whether to take a table of twelve on a Saturday night, squeezing in a last-minute booking, organising a private event, responding to a complaint. For these cases the chatbot does the right thing: it collects the request, alerts the right person and steps aside. The customer is never trapped in a back-and-forth with a machine that doesn't understand them — when a person is needed, a person shows up.

How much does it cost? It depends — here is on what

We won't throw a random figure at you, because it would be exactly that: random. The cost and timeline of a restaurant chatbot depend on a few concrete factors: the channels you want to cover (WhatsApp only, or a website chat too), the integration with the booking system you already use — or, if you don't use one, how you want to keep the table register — the languages to support, which for a place with tourist traffic means at least English, and how much of your menu and house rules needs to be prepared and kept up to date.
